How We Price Fitness Accounting Work
Your fee is built from the shape of your business, not from a tier. The things that move it are the ones that move the work.
- Revenue and facility size. A smaller studio and a large multi-service club carry different transaction volume, different payroll, and different reporting needs.
- Number of locations. One location or two changes the game quite a bit, and it keeps changing as you add units.
- Entity structure. Sometimes multiple locations sit under one entity, sometimes they’re separate. Both are defensible, and they aren’t the same amount of work.
- Complexity. Seven credit cards is a different month than one. So is inventory, retail, personal training, or a build-out in progress.
- Services in scope. Bookkeeping, tax preparation, payroll, and outsourced CFO can run together or separately.
Every one of those is something we can only see in your actual books, which brings us to the question owners ask first.
Why Won’t You Just Give Me a Ballpark?
Because a ballpark given before we’ve seen your books is a number we’d have to walk back, and that’s a worse start than no number at all.
Owners ask us this on almost every first call, and it’s a fair question. What we’d rather do is put real brackets on it at the second meeting, after we’ve looked at what’s actually going on. That takes days, not weeks, and it costs you nothing.
What you get at the end of it is a single figure, so it’s worth being clear about what that figure buys.
What Is Included in the Monthly Fee?
Everything inside your agreed scope, done every month, for the same amount. That’s the point of fixed fee: you can budget it, and you never have to decide whether a question is worth the phone call.
If something genuinely falls outside that scope, a one-off entity restructure or a special project, we scope and price it separately rather than quietly absorbing it or quietly billing for it. You’ll know before the work starts.
That scope isn’t frozen, though, and neither is the fee.
Does the Fee Change as We Grow?
It can, and we’d rather say so up front. The goal is to get in at a place that’s comfortable now, then grow with you as your situation gets more complex. A second location, a new entity, or a retail line adds work, and we’ll talk about it when it does rather than surprising you at renewal.
